One day prior to a performance, the venue's designated "show manager" is messaged a performance checklist designed to find any bottlenecks, dropped balls, or confusions that may delay performances or violate contractual agreements. Use of the MGN booking modules should prevent all of the checklist contingencies, however, there is human error to content with, as well as management and staff changes, not to mention failure to consistently USE the system, or failed login due to internet outages and other acts of God. Included (but not limited to) the following:
VENUE PERFORMANCE CHECKLIST
-- The correct artist is arriving for the correct date
-- Artist has confirmed show date and their timely arrival
-- Any opening acts are confirmed and the artist informed
-- Contracts have been signed and approved (link to contract module)
-- Any contract riders or special needs have been provided for
-- Any venue policies not included in the contract have been communicated to the band (food, drink, break times, etc.) and confirmed
-- Show time is agreed and confirmed
-- On premise show posters are current, as well as any telephone answering messages, reader boards, other signage, etc.
-- Overflow crowd handling, and parking options are in place
-- Any security personnel or services are scheduled and confirmed
-- Any MCs are confirmed and briefed
-- Staging equipment is fully functional (if not, artist is informed of such)
-- Artist has confirmed they are aware of any staging or performance equipment they must provide
-- Stage technicians are scheduled and confirmed and artist informed
-- Load-in area is unobstructed, and any hazards or legal considerations have been communicated to the artist
-- Any peripheral mobile recording or broadcasting vehicles know where to set up
-- Any greeting personnel (door person, ticket collector) have been scheduled and confirmed
-- All staff are briefed on what the show is (artist(s), showtime, admission charge, end time)
-- Artist has confirmed any housing arrangements and procedures (hotel checkin info, etc.).
This checklist is followed, checked off and submitted when complete within the Venue Profile, and sent to the artist(s) no less than 24 hours prior to performance. If the artist has not received this checklist confirmation, their profile is flagged by MGN so the artist is alerted to any situations.
EMERGENCIES
If during the checklist verification, problems are found, each item of the checklist offers a contingency for the failure of that item. If there are multiple failures, MGN offers an emergency hotline direct to a local rep who can help handle the situations.
For example, a worst case scenario would be the arriving artist has to cancel their appearance the day before or OF the scheduled show. The pre-existing back up for this is that before confirming the gig, the artist has already indicated a qualified replacement artist in the same genre. If this option fails, the venue can find replacement acts within the MGN database. Local artists indicate if they can be available on short notice for specific dates. Also, other touring acts who may be closeby can easily be found and contacted, either by the venue or the artist. Any ticket refunds or last-minute promotions can then be planned for and executed.
In the case of a catastrophic internet crash or electrical outage, fire, tornadoes, hurricanes, blizzards, floods or other acts of God, all that is needed is a phone call from somewhere somehow to MGN emergency hotline, and the rep will be able to handle what needs to be handled remotely. Again, if the arriving artist does not get the show manager checklist confirmation, this constitutes an alert condition within the MGN profile, and real-time contact is initiated. Venues indicate in their profiles emergency contact numbers, and should include a local non-premises contact (such as a family member, business associate, or association colleague) who is informed and able to provide cogent information and take action on behalf of the standard venue management people in the case of a catastrophic event.
In the case of adverse weather conditions, all touring acts are provided with up-to-the-minute weather forecasts and conditions, and should there be a delay, or anticipated delay, affected venues are notified as well in advance as possible and alternative plans can be made.
Venues also must determine and indicate within their profiles backup personnel for stage technicians, MCs, greeting personnel. This is part of the venue back office (see Pre-Venue Services), staff management module where staff schedules are managed and overflow personnel contacts are kept.
